Lead Follow-up Agent for an Insurance Agency

An insurance agency was losing leads because brokers couldn't call back fast enough. We built a voice agent that calls new leads within a minute, qualifies them, and books appointments directly on broker calendars.

The problem

The agency generated 200+ online leads a month but only 8% became appointments. Brokers were too busy to call back quickly, and leads that sat for even 30 minutes went cold. By the time someone called, the prospect had often already talked to a competitor.

What we built

We built a voice agent that triggers within 60 seconds of a form submission. It introduces itself, confirms interest, and runs through qualification questions: coverage type, current policy, household details, budget. Qualified leads get offered appointment slots from the broker's live calendar. Confirmation texts and pre-appointment questionnaires go out automatically.

What changed

Lead-to-appointment conversion went from 8% to 35%. Average response time went from 4 hours to under a minute. Brokers receive pre-qualified leads with complete intake info, so they can skip the initial Q&A. Cost per acquisition dropped from $560 to $130.
