Appointment Reminders for a Salon Chain
A multi-location salon had a no-show problem. We built an automated reminder system that contacts clients through their preferred channel and fills cancellation gaps from a waitlist.

About 18% of appointments were no-shows across this 6-location chain. Front desk staff spent 3+ hours daily making reminder calls, mostly reaching voicemail. When someone cancelled last-minute, there was no practical way to fill the slot.
We built a reminder system using n8n that sends SMS, email, or voice calls based on each client's preferences. Messages go out at 48 hours, 24 hours, and 2 hours before the appointment. Cancellations automatically notify people on the waitlist. A dashboard shows no-show patterns by stylist, service, and time slot.
No-shows dropped from 18% to under 11%. Staff got back 15+ hours a week across all locations. Clients appreciated being able to reschedule instantly when the voice agent called, instead of playing phone tag.
